Description

Accreditation

· Familiarize yourself with current ACGME (Accreditation Council for Graduate Medical Education) and ABPMR (American Board of Physical Medicine and Rehabilitation) requirements, and know where to find them.

· Organize and maintain information needed to complete the ACGME Annual Program Update through ADS.

· Familiarize yourself with the Clinical Learning Environment Review (CLER) program to know what is assessed during the visit.

· Manage, prepare, and assist with self-study and site visits.

Administration

· Assists in the administration of the residency program and department operation, such as ensuring adherence to university policies and procedures, ACGME and DOH guidelines, and regulations.

· Performs division-level administrative support, liaison, office coordination, lead direction, word processing and file maintenance duties (residents, staff and faculty) while working directly under the guidance of the Program Director.

· Manage the daily, monthly, and yearly operations of the PM&R residency program.

· Coordinate specific activities related to the PM&R residency program (e.g., accreditation, credentialing, scheduling, recruitment, orientation, etc.), including timing, logistics, and participation.

· Perform administrative duties such as updating resident policies, maintaining resident files, documenting conference attendance, monitoring resident work hours, tracking procedure logs, contracts, evaluations, and updating resident schedules and curriculum.

· Act as a liaison between the department and graduate medical education office.

· Oversees the following electronic databases -ACGME, NRMP, ERAS, New Innovations and other Graduate Medical Education databases as required.

· Coordinates program director/resident semi-annual and final meetings, ACGME site visit preparation activities, IPRO site visits, and conference and other educational travel arrangements.

· Prepares and submits educational grants.

· Coordinates all graduation function and activities.

· Submits GME documents (payroll rosters, appointment and termination forms etc.) in a timely manner.

· Assists in the development and implementation of daily schedules, monthly calendars, call schedules; and early rotation schedules.

· Schedules and coordinates meetings and conference room use.

· Orders food, reserves space, send notifications, and takes and distributes meeting minutes.

· Performs other work as assigned.

Budget

· Manage and/or assist with the program’s fiscal education budget.

· Review monthly program financial reports.

· Process invoices for program expenses.

· Complete monthly Medicare tracking report for the institution for purposes of Medicare reimbursement.

Credentialing

· Collect credentialing data and maintain credentialing records.

· Schedule residents for credentialing courses (i.e., ACLS and BLS).

· Distribute certificates to residents for program completion.

· Manage graduate records and prepare verification and credentialing documents for program alumni.

Scheduling

· Schedule PM&R-related activities such as master schedule of rotations, conferences, electives, vacations, individualized rotations, didactics, committee meetings,

recruitment, events (i.e., orientation, graduation, AAPMR SAE-R and AANEM TPSAE and NMSAE examinations), etc.

· Coordinate schedule for medical student elective in PM&R.

· Prepare and/or distribute master rotation, call, and didactic schedules in cooperation with chief resident(s).

Recruitment

· Plan, develop, and coordinate resident recruitment activities.

· Review applications and inquiries to identify appropriate candidates for the PM&R training program in accordance with the established criteria (i.e., credentials, licensures, visas, screening, etc.).

· Participate in the ranking process for residency candidates.

· Gain knowledge of ERAS and NRMP programs.

· Represent program at conferences and recruitment fairs to recruit candidates for residency program.

· Contribute to the evaluation of candidates.

· Complete annual surveys such as the National GME Census Survey through GME Track.



Requirements

1. Bachelor’s Degree with minimum of two years’ experience in related field preferred.

2. Computer proficiency in Microsoft Word, Excel, PowerPoint

3. Strong interpersonal (written & oral), administrative, and organizational skills.
